1 Who is collecting your data?

2 The information we collect about you
We collect information about you or your vehicle when you use our websites, applications and our dealerships. We also obtain information about you or your vehicle from our authorised service centres (where applicable). Some of this information does not identify you personally but provides us with information about how you use our services and engage with us (we use this information to improve our services and make them more useful to you).
The information we collect includes some or all of the following:
2.3 Via our website
If you visit our website, we may collect the following information: technical information, including the Internet protocol address used to connect your computer to the internet, browser type and version, time zone, browser plug-in types and versions, operating system and platform, information about your visit, including the full Uniform Resource Locators, clickstream to, through and from our site (including date and time), items you viewed or searched for, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), methods used to browse away from the page, social networks used to browse to our pages and any phone number used to call us.
2.2 Special categories of data
We recognise two specific categories of personal data that deserve different levels of protection:
Personally-Identifiable Information includes, for example, e-mail addresses, billing information, employment status and 'click stream' data that tracks visitor activity on a Web site or online service.
A subset of that category, Sensitive Data, deserves additional safeguards. Sensitive Data includes by way of example, Clients' confidential data, individuals' home telephone numbers, Driving Licence information, Bank Account, National Insurance numbers, interview notes, CVs, etc. If your relationship with us includes providing us with Sensitive Data, we will protect that information with extra care. We will not distribute Sensitive Data outside of our business, unless one of the three separate bases to lawfully do so applies (see clause 3 below) and will give you the chance to opt out of sharing this information within our own organisation.
We collect Personally-Identifiable Information and Sensitive Data only when there is a legitimate business need to do so.
3 How do we use this information?
R,R & R Ltd will only process information that is necessary for the purpose for which it has been collected. You will always have the option not to receive marketing communications from us (and you can withdraw your consent or object at any time). We will never send you unsolicited 'junk' email or communications, or share your personal information with anyone else who might.
There are various ways in which we may use or process your personal information. We list these below:
Where you have provided your consent, we may use and process your information to contact you from time to time about promotions, events, products, services or information which we think may be of interest to you (don't worry, we won't bombard you, typically 12 or so emails per year);
You can withdraw your consent at any time by contacting us on the details given below or, in relation to any marketing messages you receive, by using the unsubscribe option included in those messages.
We may use and process your personal information where this is necessary to perform a contract with you and to fulfil and complete your orders, purchases and other transactions entered into with us (or one of our authorised service centres).
We may use and process your personal information as set out below where it is necessary for us to carry out activities for which it is in our legitimate interests as a business to do so.

We may process your personal information to comply with our legal requirements (for example to register your motorcycle with the DVLA).
Sometimes we will need to process your personal information to contact you if there is an urgent safety or product recall notice and we need to tell you about it.
4 Who will we share your information with?
The warranty terms and conditions set by motorcycle manufacturers preclude the requirement for them to be able to contact you directly for e.g. a product safety recall. Therefore, in certain circumstances and with your consent, we will provide the manufacturer of that product (vehicle / accessory / clothing) your contact details including name, address, phone number and email address. You have the option to opt out at any time.
We may share relevant data with our representatives or with debt collection agencies if that is necessary. In certain cases, you may indicate to us your preferences regarding disclosure to third parties. Please contact us for further information.
We will also share your information with our authorised repairer network in situations where we need to pass your information to them in order to manage any request or complaint you have made to us. For example, where you have requested a test ride, we will need to share your personal information with your selected authorised repairer so that they can contact you to arrange for the test ride to take place.
We take steps to ensure that any third-party partners who handle your information comply with data protection legislation and protect your information just as we do. We only disclose personal information that is necessary for them to provide the service that they are undertaking on our behalf. We will aim to anonymise your information or use aggregated none specific data sets where ever possible.
5 How long will your information be kept?
We will not hold your personal information in an identifiable format for any longer than is necessary. If you are a customer or otherwise have a relationship with us we will hold personal information about you for a longer period than if we have obtained your details in connection with a prospective relationship.
We do not retain personal information in an identifiable format for longer than is necessary.
If we have a relationship with you (e.g. you are a customer from an authorised service centre), we hold your personal information for 6 years from the date our relationship ends. We hold your personal information for this period to establish, bring or defend legal claims. Our relationship may end for a number of reasons including where the vehicle warranty or lease expires, or we have been made aware that you no longer own or drive that vehicle.
Where we have obtained your personal information following a request for information, test drive, brochure, quotation or any other information on any of our products or services, we hold your personal information for 1 year and 6 months from the date we collect that information, unless during that period we form a relationship with you e.g. you purchase or lease a vehicle. We hold your personal information for this period to give us an opportunity to form a relationship with you.

6 Marketing information
We may wish to provide you with information about other services we think may be of interest to you, where that is in your interests. In that case, we will seek your consent unless you are a current customer. If you agree to us providing you with marketing information then, as indicated above, you can always opt out at a later date. We will never sell personal data, including mailing lists, on to a third party.
7 How do we protect your information?
We put in place appropriate security procedures and technical and organisational measures to safeguard your personal information. This may include, in certain cases, encryption of data and use of passwords. We will use all reasonable efforts to safeguard your personal information. However, you should be aware that the use of the internet is not entirely secure and for this reason we cannot guarantee the security or integrity of any personal information which is transferred from you or to you via the internet.
8 Access to your information, our DPO and updating and correcting your information
8.1 You have a number of rights in relation to your personal information under data protection law. In relation to most rights, we will ask you for information to confirm your identity and, where applicable, to help us search for your personal information. Except in rare cases, we will respond to you within 30 days after we have received any request (including any identification documents requested).

9 Sale of business
If our business is sold or integrated with another business your details may be disclosed to our advisers and any prospective purchasers and their advisers and will be passed on to the new owners of the business.
